Board Meeting Report - next meeting March 10th

Minutes Board Meeting September 16, 2009

PRESENT:  Greg Linden, Dera Oldofredi, Paul Oldofredi, Mary Atwood, Kitty Swindle, Chere Bargar, Sharon Hensley, Melanie Headrick, Karen Hallenbeck, Phil Atwood, Kitty Swindle, and Margo Barnett.

Meeting was called to order by President Greg Linden at 7:15 p.m. at the home of Dera and Paul Oldofredi

 PRESIDENT:   Greg  proposes a general SMHA meeting every other month instead of every month. Next year, a Board directory should be bound and printed after the June Poker Ride. A By-Law review committee will be appointed.  Specifically, the members will need to look at the “Junior” member designation and new CSHA requirements.  Fees need to be reviewed also.

Greg thanked SMHA for the flowers.

Greg said it appeared that the board would stay the same next year.  Membership will need a new chair.

 VICE-PRESIDENT:   Dera reiterated issues with the calendar and insurance requirements.

 SECRETERY:  Pat Sharfe is unable to attend.  Melanie Headrick will take minutes.  No report.

 TREASURER:   Karen Hallenbeck reported that a deposit was made from Jack Brooks.  

 COMMITTEE REPORTS:

Pleasure Ride:  Maureen Olson and Phil Atwood to host the upcoming Pebble Beach Ride on October 17, 2009.

Jack Brooks:  Joan Throgmorton was unable to attend and will give her final report at the next board meeting.  Greg Linden will get details from Joan tomorrow.

Mary Atwood reported that she was able to secure Jack Brooks for 2010 from August 8-16.  SMHA to reimburse her out-of-pocket expenses of $1,257.

 Poker Ride:  Sharon Hensley gave her final report for the Poker Ride/Trail Trials held on June 27, 2009 at Harvey Bear Ranch in San Martin and provided a printout with details.   Total amount collected, which included sponsorships, pre-registration, fees collected at the ride and cash collected .  Trail Trial participants totaled 22 and Poker Ride participants totaled 43 for a Grand Total of 65.  Sharon reported that pre-registering works very well.

 Sharon also reported on the Poker Ride scheduled for Oct. 31.  There is a glitch with the wording on the permits and Santa Clara County Parks is waiting for the new insurance endorsement.  Sharon does not expect any problems with this.  Flyers are being distributed and it’s posted on the website.  Discussion:  should we include hikers?  Chere Barger and Margo Barnett will check into organizing/including hikers for this event (personnel needed, fees, etc.).  Sharon needs volunteers.  We will get a port-a-potty for this event, also.

 Membership:  Melanie Headrick reported that we have 133 adults, 33 youth for a total of 166 people; we have 48 paid family memberships, 46 paid individuals, 2 juniors 2 honorary memberships and 12 lifetime memberships for a total of 96 memberships.  Two Juniors and 1 individual signed up at Jack Brooks.

  Discussion:  The board discussed Junior memberships when our insurance was due earlier in the year.  Since we are a family club.and CSHA requirements have changed in the last year, our by-laws will probably need to be revised.  The two juniors who joined at Jack Brooks both turn 18 before the end of the year.  SMHA will waive additional fees for 2010 and these two people will be individual members in 2010.

A limited number of revised forms (green) were provided for 2010, specifically for the upcoming Poker Ride. 

 Website:  Nothing to report.

 Miscellaneous: 

Chere will contact Christine Amber about the Oct. meeting.   Discussion about requesting that Elish Ryan with Santa Clara County Parks provide an update for the county-wide master plan for equestrian use at our next general meeting (Oct. 9). 

 NEW BUSINESS:

 Chere Bargar:  Chere reported that there will be trail work days at Bear Ranch the first Saturday of every month.  Chere also thanked everyone for helping on the NATRC Ride.  She’ll provide a note for Christine Amber. Chere said there is an upcoming benefit in Santa Cruz for rescued horses.  She’ll send the information to Christine for the newsletter.

 Kitty Swindle:  Stated there would be a county wide clean-up of parks.

Mary Atwood:  Mary said she heard on a newscast today that the State indefinitely postponed the announcement as to what parks would be closed.  The news stated that if each person paid $15 on vehicle registration, it would open the parks up for free. Mary said there have been suggestions from club members to name the Pebble Beach/October pleasure ride in honor of Marcia Linden.  Discussion.  Mary made a motion to hold a pleasure ride in October each year in honor of Marcia Linden/seconded by Dera/motion carried. Mary made another suggestion that we put a donation jar in Marcia’s honor at the Poker Ride for distribution to appropriate groups. 

Dera Oldofredi:  Dera suggested that we also look into sponsoring a bench or picnic table with a plaque honoring Marcia to be placed at Bear Ranch or Jack Brooks or other appropriate location.  Dera said that she would coordinate these items and get back to the board.

Greg Linden:  We need someone to head up the Christmas dinner.

Margo Barnett:   Nothing to report.

 Melanie Headrick:  Melanie passed around 2010 blank calendars for board members to assist in setting meetings for the next year and one-half.  Dera and Greg clarified that we need to do this so that in 2011 we are current for insurance requirements.  Greg asked that everyone be prepared to address upcoming meeting dates at the next board meeting.

Melanie passed around flyers for the Tri-Valley Trailblazers Poker Ride or Hick/BBQ/raffle to be held on October 4, 2009 at Del Valle Regional Park-Livermore, Caballo Loco Horse Camp at 8:30 a.m.  For more information call LeAnn at 925-373-5952.
